Who Really Simple Systems is Best For
- Users with no CRM experience: This software is called “really simple” for a reason. Its design and dashboard are very straightforward and so easy to understand that even those with no previous CRM software usage background would not have a hard time figuring things out.
- Onerepneurs or freelancers: Really Simple Systems provides a “free forever” plan that offers individual users (or teams of two) with the basics: company records, contacts, and document storage allocation. It also provides essential features such as contact management, pipeline management, and more.
Really Simple Systems Pricing
Really Simple Systems’ pricing includes a free subscription option and three paid plans: Starter ($18/user/month), Professional ($38/user/month), and Enterprise ($55/user/month). The main differences between the plans include the number of company records, document storage size, and access to premium features such as email integration, advanced reporting, and third-party integrations.
You may also opt to include the Marketing CRM module for $26 per month, Advanced Marketing CRM module for $55 per month, and the Service Desk for $55 per month.

*Annual plans are paid in full at the beginning of the billing cycle.
Really Simple Systems’ Free Plan is limited to two users, 100 company records, unlimited contacts, and 100MB document storage, which can serve as a great entry point for start-ups and small businesses. It includes essential features such as contact management, pipeline management, opportunity history, and listing and forecast reports. The main functionality that this plan lacks is the option to purchase a Marketing CRM module.
The Starter Plan builds on the features of the Free Plan and offers users with 1,000 company records, unlimited contacts, and 1GB storage. It includes additional features such as email integration, accounting tools, and the option to upgrade and purchase the Marketing CRM module.
The Professional Plan builds on the features of the Starter Plan and offers users with 5,000 company records, unlimited contacts, and 5GB document storage. It includes additional features, such as quotation management and VoIP (Voice-over-Internet-Protocol)/telephony accessible directly from the software.
The Enterprise Plan is Really Simple System’s most advanced plan which offers unlimited company records, contacts, and data storage. It also provides advanced reporting, scheduled reports, run-time options, and custom chart widgets. It also has a dedicated account manager and team training.
Author’s Note: I signed up for Really Simple Systems free trial (pre-assigned under the Professional plan). It was very easy to sign up—I just had to fill in a little information (name, business email, company name, phone number), and I was good to go. Credit card details were not required, and I was immediately brought to the dashboard upon clicking signup.
The homepage includes a seven-minute introductory video educating new users on the key features and functionalities of the software. Living up to its name of “really simple,” I found the interface straightforward and easy to understand. The dashboard was also pre-loaded with demo accounts and sample customer names, which actually made it easier to understand how it works as you are not starting from an empty screen.
Some of the key functionalities that I found remarkable include the “Opportunities” section that can be found under the Sales tab. The Opportunities page displays essential information on a particular opportunity such as close date, forecast, status, total value, and probability. It also indicates the source from which the opportunity came from. Another feature that I like is “Emails” under the Marketing feature, which enables you to create professional-looking email marketing campaigns with pre-built templates.
Overall, I found the user interface quite easy to navigate and understand. Features were described simply and there were no jargon used—which is ideal for beginners or those with very little CRM experience.

Really Simple Systems Features
Really Simple Systems provides you with an extensive set of CRM tools designed specifically to help you manage your customer relationships better and continuously grow your business. Below are its key features.
Sales Pipeline Management
The Sales Pipeline Management feature allows you to manage and track your sales opportunities to effectively prioritize your sales efforts, giving you clear visibility of your sales team’s pipelines through the sales process.
Through this, you can create sales opportunities showing the value of the deal, set and update the probability of the sale, and add weighted (%) values. It will also help you create more accurate forecasts and close more leads as well as create quotations and issue invoices directly from your opportunities, reducing the need to switch between systems to get your paperwork done.
The Contact Management feature enables you to manage your contacts and share information across your team. Not only contact information, but also a 360-degree view of all your interactions to help you improve your customer experience and engagement for lasting customer relationships. Through this feature, you are not just keeping track of names and addresses as the system records every interaction, including emails, calls, notes, and documents, arranged in a summary timeline.
The Lead Management functionality helps you manage your sales leads or prospects from initial inquiry to a confirmed sale. It also provides unlimited custom fields to help you set up your data and record what is important to your business as well as segment your contacts by these fields to personalize your campaigns and content.
The Marketing Automation feature integrates your website, campaigns, and sales to process new leads and trigger workflows. Data captured from a web form will automatically update your CRM records or create a new account. You can also send an alert for your sales team to follow up and initiate a programmed series of emails in a drip campaign. Its automation capability gives you more time to focus on other responsibilities as it takes care of routine tasks and moving prospects through your pipeline.
